ViniVault/Organising

How to organise a record collection

Work out what you own, then make it easy to find. ViniVault is the list you search. You still choose the order of the records on the shelf.

Separate the spines from the catalogue

Alphabetical spines, by genre, or by the order you play them: the physical order can stay as you like it. The catalogue is what you search when the spine is not enough.

Write down the odd copies while you organise. White labels, promos, and records with no sleeve are the ones you will not remember later, and they are the ones a tidy shelf hides.

Organising fails when it tries to be perfect on the first record. Artist and title for a whole crate is a finished job. Grades, prices, and catalogue numbers can be a second pass.

Decide what 'organised' means

For most collectors it means three things. You can find a record without walking the shelf. You know which titles you do not own yet. You can describe the collection to yourself, an insurer, or a buyer without relying on memory.

The physical order does not have to match the app. If you like your jazz together and your singles in a box, leave them there. Search does not care which shelf the record sits on.

How this works in ViniVault

Search or add by hand, then use notes for anything odd about that copy. Statistics groups the shelf by genre and decade once the records are in, even if the spines stay alphabetical.

A wishlist kept off the shelf is part of organising too. Wants are not owned records. Mixing them in makes the inventory, and the value, untrue.

Questions

Do I have to re-file the records to match the app?
No. The app is the index. The shelf can stay in whatever order you already use.
Where do I start if the collection is a mess?
One crate. Add the artist and the title, then the next record. Do not grade the first record until the crate is done.
