Third-party services
Last updated 14 September 2026
1. Why this matters
ViniVault keeps your collection in a private vault on this installation. Some features also use third-party data and online services so you can identify records, show sleeve art, find nearby shops or fairs, or check marketplace listings. Those providers have their own terms and privacy policies. This page explains how ViniVault uses that kind of data in general. ViniVault does not process shop checkouts or take payment for goods.
2. Catalogue and release data
Add Records, external collection import, barcode lookup, and related browse tools may use third-party catalogue data (including a local copy held on this server) to match artists, albums, pressings, and track lists. When you add or refresh a record, ViniVault may request extra release details from external catalogue sources so your vault stays complete.
Catalogue information belongs to those third parties and their contributors. ViniVault is not affiliated with or endorsed by them.
3. Artwork
To show sleeve art while you browse or search, ViniVault may load publicly available artwork from third-party image sources, or use covers you upload yourself. Linked images remain hosted by those sources unless a local copy is saved for your vault on this installation.
4. Do I own it? and collection checks
Do I own it? compares what you type or scan against your vault (and wishlist where relevant). Barcode lookup may use the same catalogue sources described above. It does not place orders or open a ViniVault checkout.
5. Marketplace checks (Vinyl Hunter)
If Vinyl Hunter is enabled, ViniVault may query third-party listing or price data for records you choose to hunt. Results are for your personal collecting use. Any purchase you make happens on the external site under that site’s own terms, not inside ViniVault.
6. Maps, stores, and fairs
Find record stores and Record fairs may use map and place data from third-party mapping sources to show shops or events near a UK postcode or town you enter. Coverage depends on what those sources have mapped or what this installation has curated for fairs.
7. Ask My Collection
If Ask My Collection is enabled, your question and limited vault context needed to answer it may be processed on this server and, when configured, by an external language-model provider. Use it only with data you are comfortable sending for that purpose.
8. Listen-on links
Album pages may show optional “Listen on” links that open third-party music services in a new tab. ViniVault may ask a link-resolution service for matching URLs. Playback and any accounts on those services are outside ViniVault.
9. Email delivery
Optional notices (for example Vinyl Hunter alerts) and problem-report messages may be sent by email through the mail settings configured on this host. Only addresses associated with your account, or the support inbox configured by the operator, are used.
10. Your responsibility
When you leave ViniVault for an external website or service, that provider’s rules apply. Please use third-party data and APIs only for normal personal collecting, and respect any rate limits or acceptable-use rules they publish.
