Catalogue a large vinyl collection
A large collection is catalogued in passes, not in a weekend. ViniVault's Pro shelf is there when you are past 100 records.

Passes beat a marathon
First pass: artist and title for one bookcase. Second pass: prices and condition on the records you would insure or sell. The rest can wait. A marathon weekend produces mistakes, and mistakes in a large catalogue are hard to see.
If the collection is already on Discogs, import it instead of typing every spine. The import copies the collection into your vault. It does not delete the Discogs account, and it does not stay in sync afterwards. Check the odd pressings once the rows are in.
Free covers the first 100. An import that would pass that line stops and tells you. Pro at £1.99 a month lifts the cap for the rest. The records already added stay either way.
What to leave for the second pass
Sleeves come with the release you chose, or you upload a photo, or you accept a placeholder. Do not stop the first pass to hunt a perfect image. Do stop if the sleeve is the wrong album. Blank is better.
Type prices you know, especially on records you would mind losing. Leave the others for the guide. Read the count under the total so a partial sum is not treated as the value of the whole room. Scarcest on the shelf is the shortlist for a closer look, not a verdict.
How this works in ViniVault
Work one bookcase at a time. Export a CSV from Account when that case is done, and keep the file. Then start the next case. The phone is for checking a spine. The computer is kinder for the long session.
Wants stay on the wishlist. A large collection is already hard to trust. Mixing in records you hope to buy makes it worse.
Questions
- What order should a large shelf be added in?
- The records you would mind losing, then the ones you play, then the remainder. One bookcase at a time beats a plan to do the room.
- Will an import copy my Discogs collection exactly?
- It copies the records across. It does not keep deleting or adding in step with Discogs afterwards. New purchases are added in the vault, or you import again when you choose to.
